What's new
What's changing in Plexago.
What's new in the app, most recent first. It reaches your account with nothing to install.
The tenant portal, on the web
Your tenants have their own portal on the web, with no password: they get in with the lease's invitation code, by scanning the letter's QR code or typing it. They find My lease, My balance (a PDF receipt for each payment and a yearly summary, with your payment instructions), their requests with photos, their questions, their RL-31 slip if they consent, and My information, where they can ask for a correction. Each tenant sees only their own lease; “Revoke access”, on the unit's page, changes the code.
Exact renewal notice deadlines at the end of the month
For a lease that ends on the 29th, 30th or 31st, the period for giving the renewal notice no longer spills over into the next month: never a day too early or a day too late. Example: for a 12-month lease ending May 30, 2027, the notice is given from December 1, 2026 to February 27, 2027.
Quick search
Ctrl K (⌘ K on a Mac) or the magnifier button in the header: pages, common actions and your records (buildings, units, tenants, leases, service requests, work orders, invoices…).
An Essentials menu for small portfolios
Up to 12 units, the menu shows the basic pages for a plex, and each tool joins it as soon as you use it. “All tools”, at the bottom of the menu, shows the rest; Settings → Menu display changes this choice.
The To do list
At the top of the dashboard, “To do” brings together what's overdue, what's due within 7 days and what's awaiting a reply, with a button to act. Snooze a line for a day or a week, or hide it.
Complete my data
What's missing from your records and what it holds up (notices, RL-31, billing), with a “Complete records” score and grids to fix everything at once, where “Paste from Excel” fills a whole column.
Interac e-Transfer notices
Paste the e-Transfer notices you received by email into “Interac e-Transfer notices”: Plexago suggests the rent paid, you confirm, and the transfer is never counted twice when you then import your bank statement.
Clearer screens
Messages after an action now show at the top right; long lists have 50 rows per page and sortable columns; rent opens on what's to collect first.
AI pages, counted
Each page read by AI is counted, with its real cost, and a monthly cap stops AI before anything is sent once it's reached. An administrator sees the count and sets the cap in Settings → Artificial intelligence.
Forgotten or new password
Under the password field, “Forgot your password?” emails a link that works once, for 30 minutes. In Settings → Account security, everyone can change their own password (the current one is required), and an administrator can reset a colleague's.
Upload your information: all in one place
Drop your leases, tax bills, mortgage statements, insurance policies and invoices into “Upload your information”. Plexago suggests the buildings, units, leases and amounts to create; you check them, then everything is imported at once, and can be undone in one click. Reading by AI requires your privacy impact assessment (PIA); the Plexago template (spreadsheet) imports without AI.
On phones and tablets
The app now works on phones and tablets too: the menu opens with the ☰ button, and no page runs off the screen.
Your deadlines in your calendar
The regulatory calendar can be added to Google Calendar, Outlook or Apple Calendar with a private link that holds no personal information. Email reminders can also go out 30 days and 7 days before each deadline (to be turned on).
The regulatory calendar
One page brings together the legal deadlines for the next 12 months: the opening of renewal notices, the TAL rate, RL-31 slips, income tax, July 1, and the deadlines of your own leases. A missed notice period is flagged in red.
Anomalies to check
Plexago flags arrears over 60 days, rent invoiced differently from the lease, an unusual expense and duplicate invoices, with a link to fix each one. Everything is calculated within Plexago, without AI.
Guided tour and getting started
On your first visit, a two-minute guided tour walks through each part of the screen, and Getting started on the dashboard shows where to begin. The “Guided tour” button at the bottom of the menu replays it any time.
A menu in seven groups, modules of your choice
The menu now fits in seven collapsible groups, named after what they hold. In Settings → Modules, an administrator can hide the modules you don't use; their data stays intact.
Five more modules
Landlord notices (repossession, eviction, major work, access to the unit…) as PDFs, based on the TAL's templates, with their register; communications (email and text templates, group sends, automatic reminders); GST and QST with an accounting export (QuickBooks Online, Sage 50, IIF); trust accounts and owner reports; parcels, equipment bookings and sub-meters.
A complete export of your data
In Privacy, “Download the complete export (ZIP)” gives you all your data as CSV files, with your leases, documents and photos: to keep them, or to switch software. Administrators only, and every export is logged.
Two-factor authentication
On top of the password, a 6-digit code from the authenticator app on your phone (Google Authenticator, Microsoft Authenticator, 1Password…), with 10 backup codes and trusted devices. An administrator can require it for the whole management team.
In English, in dark mode, in larger text
The whole app is available in English: screens, PDFs, emails and texts. Everyone can also pick the theme (light, dark or neon) and the text size (normal, large or extra-large).
Text messages
Rent reminders by text to payers with a balance, service request updates by text for tenants who ask for them, an alert to your team for an urgent request, and an SMS page with the month's count. Sending requires your privacy impact assessment (PIA).
